2025 Open Education Conference

The Open Education Conference will be held October 28-30, 2025 as a virtual and in-person hybrid event. All registration types provide full virtual access to the conference, including live virtual events, pre-recordings, and post-conference access for at least 90 days. In-person registration also provides access to the in-person venue and all in-person sessions. Information on how to access the conference platform will be delivered by email to the registered email address.

Registration information is subject to our Privacy Policy. The Open Education Conference does NOT share attendee contact information with sponsors. 

Participation in the Open Education Conference is subject to the conference Code of Conduct and our standard terms and conditions below. 

REFUND POLICY

On or before August 29, 2025, tickets are refundable within 30 days of purchase minus a non-refundable service charge of up to 6.6% of the ticket price, which is deducted by our payment platform. After August 29, 2025, all tickets are non-refundable.

Ticket type changes are permitted under certain circumstances. Virtual tickets may be changed to an in-person ticket by paying the difference in rate. In person tickets may be changed to a virtual ticket with the difference in rate handled according to the refund policy. If you need to change your ticket, contact us and do not register twice, as we cannot make exceptions to our refund policy.

Ticket holders may transfer tickets to another eligible attendee upon request at no cost. The deadline to request transfer of in-person tickets is October 3, 2025. The deadline to request transfer of virtual tickets is October 24, 2025.

Transfer and refund requests should be submitted by email to contact@openeducationconference.org. Please include your order number and the names and emails of both parties.

TERMS & CONDITIONS

At the direction of the Open Education Conference Board of Directors, SPARC, Inc. (“SPARC”) manages the 2025 Open Education Conference (the “Conference”). SPARC may be referred to herein as the “Organizer”. By attending and/or participating in the Conference, you, the undersigned (“You” or “Your”), agree to abide and be bound by and these Terms of Participation (the “Terms”), which govern Your attendance and participation in the Conference. If You do not agree to any of these Terms, please do not participate in the Conference. You agree that You are participating in the Conference solely at Your own risk. If SPARC determines, in its sole discretion, that You are not in compliance with these Terms, SPARC has the right to terminate Your participation in the Conference at any time without notice.

  1. Eligibility: The Conference is open to individuals who meet the registration requirements and are at least 18 years of age. Attendees under the age of 18 must be accompanied by a legal guardian and may require additional written consent.

  2. Materials: All materials provided at the Conference, including but not limited to, presentations, handouts, and recordings (the “Materials”), are the intellectual property of Organizer or its affiliates, licensors, partners, and/or individual speakers. Certain Materials may be made available under an open copyright license (e.g., Creative Commons), in which case your rights to use such Materials will be governed by the terms of the applicable license. For any other Materials, You will not reproduce, distribute, or otherwise use such Materials without obtaining the prior written consent from the relevant rights holder in each instance. You understand and acknowledge that any Materials used in or referenced by the Conference are provided on an “as is” basis. Organizer hereby disclaims all warranties of any kind, whether express or implied, statutory or otherwise, including but not limited to any warranties of merchantability, non-infringement and fitness for any particular purpose. The foregoing does not affect any warranties which cannot be excluded or limited under applicable law. 

  3. Payment of Fees: Full payment of the registration fee, as specified on the Conference website, is due at the time of registration. Unless otherwise expressly provided for in these Terms, all fees are non-refundable. 

  4. Media Release: By attending the Conference, You grant Organizer and its affiliates a non-exclusive, royalty-free, irrevocable, perpetual license to use, reproduce, and distribute photographs, videos, and recordings of You taken during the Conference for promotional purposes. Organizer will provide a means for You to indicate your preference to be excluded from such photographs, videos, and recordings, which may include the use of a visual indicator, such as a distinct lanyard or badge.

  5. Compliance with Rules: You will comply with all Conference rules, rules and policies of the venue where the Conference is held, and any and all applicable local, state, and federal laws. You acknowledge and understand that Your inability to comply with the requirements of this Section 5 may result in your temporary and/or permanent removal from attending and/or participating in the Conference.

  6. Conduct: You shall conduct Your behavior in a professional and respectful manner toward all Conference participants, including but not limited to, other attendees, speakers, organizers, staff, and vendors. By attending and/or participating in the Conference, you understand that Organizer and the Conference are committed to providing a safe, productive, and welcoming environment for all participants, and You acknowledge and understand that there is no tolerance for any form of discrimination, harassment, disruptive behavior, violation of rules or laws, or bullying of any form (“Prohibited Conduct”). You further acknowledge and understand that engaging in any Prohibited Conduct or similar behavior may result in Your temporary and/or permanent removal from attending and/or participating in the Conference.

  7. Removal from Conference: Organizer reserves the right, in its sole discretion, to remove You from the Conference without refund for any violation of these Terms, for conduct deemed unsafe, disruptive, or inappropriate, or for any other reason.

  8. Limitation of Liability: IN NO EVENT WILL SPARC BE LIABLE FOR DAMAGES OF ANY KIND, UNDER ANY LEGAL THEORY, ARISING OUT OF OR IN CONNECTION WITH YOUR ATTENDANCE OR PARTICIPATION IN, OR INABILITY TO ATTEND OR PARTICIPATE IN, THE CONFERENCE, INCLUDING ANY DIRECT, INDIRECT, SPECIAL, INCIDENTAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES (INCLUDING BUT NOT LIMITED TO, PERSONAL INJURY, PAIN AND SUFFERING, EMOTIONAL DISTRESS, LOSS OF REVENUE, LOSS OF PROFITS, LOSS OF BUSINESS OR ANTICIPATED SAVINGS, LOSS OF USE, LOSS OF GOODWILL, AND LOSS OF DATA), AND WHETHER OR NOT CAUSED BY TORT (INCLUDING NEGLIGENCE), BREACH OF CONTRACT OR OTHERWISE, EVEN IF SUCH DAMAGES ARE OR WERE FORESEEABLE. THE FOREGOING DOES NOT AFFECT ANY LIABILITY WHICH CANNOT BE EXCLUDED OR LIMITED UNDER APPLICABLE LAW. IF ANY PART OF THIS LIMITATION OF LIABILITY IS FOUND TO BE INVALID OR UNENFORCEABLE FOR ANY REASON, THE ORGANIZER’S AGGREGATE LIABILITY UNDER SUCH CIRCUMSTANCES WITH RESPECT TO LIABILITIES THAT OTHERWISE WOULD HAVE BEEN LIMITED WILL NOT EXCEED ONE HUNDRED U.S. DOLLARS ($100). 

  9. Indemnification: You agree to indemnify, defend, and hold harmless Organizer, its affiliates, officers, directors, employees, and agents from any claims, losses, liabilities, or expenses (including reasonable attorneys’ fees) arising from or in connection with Your actions, omissions, or breach or violation of these Terms.

  10. Governing Law: These Terms shall be governed by and construed in accordance with the laws of the State of Colorado, without regard to its conflict of laws principles.

  11. Entire Agreement: These Terms constitute the entire understanding between Organizer and You with respect to the Conference and supersedes all prior agreements, whether written or oral. 

  12. Amendments: Organizer reserves the right to amend these Terms at any time, without providing notice. Amendments shall be effective upon posting on the Conference website or upon written notification to attendees.

  13. Severability: If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

  14. Waiver: No waiver of any term of these Terms will be deemed a continuing waiver of such term or any other term.

  15. Assignment: Organizer may assign its rights and obligations under these Terms to a third party without Your consent. You may not assign any rights or obligations under these Terms without Organizer’s prior written consent.
